Business Tariff and Renewal Questions From Companies

Business energy and telecoms contracts roll over silently and cost thousands. A worked example showing what a missed renewal date actually costs.

A business signs a three year contract and forgets about it. Thirty-seven months later someone in accounts notices the bills have risen by a third, and discovers the contract rolled onto a default rate two months ago because nobody gave notice in a window that closed before anyone thought about it.

That is not a pricing problem. It is a calendar problem, and it costs businesses more than any tariff comparison.

A worked example

Say a business on a three year contract paying 1,400 a month, so 16,800 a year.

The contract has a renewal window opening six months before the end and a notice requirement of one month.

If a new contract is agreed in the window, say at 1,480 a month reflecting market movement, that is 17,760 a year.

If nobody acts and it rolls onto a default rate at, say, 2,050 a month, that is 24,600 a year.

The difference between acting and not acting is roughly 6,840 a year, and the action required was one email inside a window nobody had diarised.

Publish the renewal date prominently

On every bill, in the account portal and in a reminder before the window opens. A supplier that does this looks trustworthy and one that does not looks like it is relying on inattention.

Publish the notice period

How much, in what form and to whom. Notice requirements are where businesses get caught and they are entirely publishable.

Explain what happens if nothing is done

The default rate, how it compares and how long it applies. Stating it plainly is uncomfortable and it is what customers remember when they choose a supplier next time.

Send a reminder before the window opens

Three months, one month and one week. The customers it loses were leaving anyway, and the goodwill it earns from the rest is worth more than the rollovers.

Explain multi-site arrangements

Different sites on different contracts with different end dates is the normal position for a growing business, and helping them consolidate is a genuine service.

Be clear about early termination

What it costs to leave before the end, how it is calculated and when it might still be worth doing. Businesses moving premises need this.

Explain what the rate actually includes

Standing charges, capacity charges, support levels and any pass-through costs. A headline rate that excludes half the bill is not comparable.

Handle the broker question

Many businesses arrange these through brokers, and explaining how that works, and what commission is involved, is a candour most suppliers avoid.

Explain how a quote is built

Businesses receive quotes they cannot compare because each supplier structures them differently. Setting out which elements are fixed, which move with usage and which are passed through unchanged lets a customer put two offers side by side, and the supplier who makes that possible usually wins the ones who bothered to look.

Moves change everything

Relocating businesses face this alongside everything else, which is the pattern in switching and new connection questions for providers and business storage enquiries from growing companies.

Support must not queue behind sales

It is the problem in service outage and billing questions that swamp support, and deciding whether automation suits your business is covered in is an AI employee right for my business.
