What has to be on an invoice?

A valid invoice needs the word 'invoice', a unique sequential number, the date issued, your business name and address, the customer's name and address, a description of what is being charged, the amount due, and the payment terms. If you are registered for VAT or sales tax you must also show your registration number, the rate applied and the tax amount as a separate line.

What makes an invoice get paid faster

Late payment is usually not a dispute about the work. It is friction — an invoice that arrived without a clear amount, without a due date, or addressed to nobody in particular, sitting in an inbox that is not the one that pays bills. Most of the delay is removable at the point the invoice is written.

The three things that move the needle: send it the day the work is done rather than at month end, put an explicit due date on it instead of 'net 30', and address it to the person who signs off payment rather than a general address. Payment terms stated as a date get paid closer to that date than terms stated as a number of days.

Invoice or quote — and the difference that matters

A quote is an offer. It states a price for described work and, until it is accepted, obliges neither side. Give it its own numbering series, a validity period, and enough detail that what is excluded is as clear as what is included — most disputes about a quote are about scope, not price.

An invoice is a demand for payment and a business record. It must be uniquely numbered, dated, and kept — most tax authorities require you to retain records for several years, six in the UK and generally three to seven in the US depending on the circumstances. Check your own requirement rather than assuming.

Why this runs in your browser

Invoice data is commercially sensitive: it names your customers, what you charged and what you charge for. There is no good reason for a free tool to hold that, so this one does not. The form state lives in the page, the PDF is assembled in JavaScript, and the file is written straight to your downloads folder.

The practical consequence is that there is nothing to recover if you close the tab before downloading. Nothing is saved because nothing is sent.

How to create an invoice PDF

    Add your business name, address, email and, if you are registered, your tax number. These appear at the top of the document.

    Add the customer

    Enter who the invoice is for, including their address. A named contact and full address is what makes an invoice payable without a chase.

    Give each item a description, a quantity and a unit price. The line totals and subtotal calculate as you type.

    Set tax and terms

    Enter your tax rate and the payment terms. The tax amount is shown as its own line and added to the total.

    Press Download PDF. The file is generated in your browser and saved to your device — nothing is uploaded.

Is my invoice data sent to your servers?

No. The form runs in your browser and the PDF is generated there. Nothing you type is transmitted to us or stored anywhere. Closing the tab discards it, so download the PDF before you leave.

What is the difference between an invoice and a quote?

A quote is an offer of a price before work begins and creates no obligation to pay. An invoice is a demand for payment for work already done or goods supplied. The layouts are nearly identical, which is why the tool produces both — the words and the numbering series are what differ.

Can I use this for VAT invoices?

You can produce the document, but check it against your own tax authority's requirements. A VAT invoice generally needs your VAT registration number, the rate applied, the net and tax amounts shown separately, and the tax point date. The tool includes fields for these; whether your invoice satisfies your jurisdiction is your responsibility to confirm.

How should I number my invoices?

Sequentially, with no gaps, in one continuous series — INV-0001, INV-0002 and so on. Most tax authorities require the sequence to be unbroken and traceable. If you void an invoice, keep the number and mark it cancelled rather than reusing it.
