Most AI chat software is sold on deflection: reduce tickets, cut support cost, contain more queries. That framing comes from software companies, where the person chatting is already a customer.
A service business has the opposite situation, and it changes everything about how the tool should be set up.
The inversion
For a software company, a conversation is a cost to be contained.
For a plumber, a roofer, a cleaner or a clinic, a conversation is a prospective job. Containing it is not the goal; capturing it is.
If you configure a service-business bot using support-industry defaults, you will optimise for the wrong outcome and then wonder why it produced nothing.
The three properties that make it work
Urgency. A meaningful share of service enquiries cannot wait. Emergency work goes to whoever answers first, and that is rarely the firm whose website has a form and a voicemail.
Locality. Every enquiry has a right answer to "are they in my area", and getting it wrong is expensive in a way that is entirely avoidable.
Repetition before specificity. The first five minutes of nearly every enquiry is the same five questions. After that it becomes specific. That first five minutes is exactly the part worth handing over.
What to configure
- Service area screening first. Ask location early, check it, say plainly when they are outside.
- Job triage. Emergency, repair, replacement or quote — each needs different follow-ups.
- Lead capture with the specifics. Not just a name: the details that make a quote possible.
- Fast handover. Service customers escalate quickly when frustrated. Let them.
What to measure
Qualified enquiries produced, and their out-of-hours share.
Not conversations, not containment. Those measure a support function you do not have.
The honest limitation
It will not price a bespoke job, and you should distrust anything claiming it can. Pricing a re-roof or a rewire needs a survey.
What it does is make sure the survey is worth attending, and that you heard about the job at all.
